How to Sign PDF file in Mac’s Mail – Guide

Gone are the days of PCs and .doc files: now, the world is transitioning to cloud-based documents that remain consistent regardless of platform or software.

Macs have become increasingly popular, but this has had an unintended consequence: the widespread adoption of PDFs as the go-to format for documents. PDFs are platform-independent, can be opened on any device, and maintain their formatting and content – a major advantage over other formats.

As remote work becomes increasingly prevalent, the question of how to digitally sign a PDF has become an important part of understanding people’s digital behavior.

How to create a digital signature on a Mac

Signing a PDF doesn’t have to be a hassle. Instead of printing, signing with a pen, and rescanning it, you can use a handwriting-style font to create an electronic signature.

You don’t have to manually sign documents on your Mac anymore. With a few simple steps, you can save your signature and quickly enter it whenever needed.

Open a file in Preview by dragging it to the icon in the Dock, double-clicking a PDF or image file, or using the preview option.

To access the editing tools, click the Markup Toolbox icon – a pen in a circle to the left of the search field.

The Sign tool icon, seventh from the left on the edit bar, can be clicked to access features such as Text Selection, Sketch, Draw and Shapes.

You can create new subscriptions and view existing ones here. Just click “Create subscription” and then “Click here to get started.”

Creating a digital signature is quick and easy with a trackpad: simply doodle with your fingertip or pen, then press any key followed by “Done” to finish. For greater accuracy, use a pen. Alternatively, you can use your camera to capture the signature.

We opted for the traditional approach of signing a white piece of paper and displaying it to the webcam. To ensure accuracy, hold the paper firmly and align your signature with the guide line.

Sign a PDF or other image file

Adding a signature to an image file is simple with macOS Mojave. No need to open Preview - just save your signature once and you can easily add it to any image in the future.

Sign your document electronically by opening the file in Preview (or Quick Look) and using the markup tools.

Visit the page you need to subscribe to and make sure you’re in the right place before signing up.

Click the Sign tool icon on the toolbar, then click once to place your signature in the center of the image. Drag it to where you need it.

How to delete digital signatures

Sharing a Mac with strangers can be risky, as Preview stores digital copies of signatures by default. To protect their privacy, users should avoid saving signatures in Preview.

To remove a subscription, click the signature icon in the Markup Toolbox and select the X that appears.

Sign documents in Mail

Mac OS X Yosemite, released in 2014, introduced a feature to Mail that allows users to digitally sign documents such as PDF forms.

Mac users can now sign emails with their signature, just like in Preview. To do so, they simply need to click the signature button on the Markup toolbar in Mail and choose whether to write it manually or take a photo of it using their Mac’s webcam.
